Dear
Client,
ICD-10: Is Your
Institution Prepared?
Countdown to
ICD10, 92
days
until 10/1/2015
Please
take the time to share, review,
and understand this IMPORTANT
ICD-10 information and links to
our website.
Your
Checklist Should Include:
1.
Verify that the Intellect version
date is greater than 14.02.04:
To benefit from recent Intellect
and ICD-10 option, you may want
to consider updating to the latest
version of Intellect.
2.
Watch IDC10 Video Tutorials:
Before the cut-over to
ICD-10, you and your
staff will need to watch the ICD-10
video tutorials created by PCS
to assist you in making the transition
to ICD-10.
Access the Prime Clinical website
either by typing www.primeclinical.com
in your web browser, or, if you
are logged-in to Intellect, click
on Support, and then Prime Clinical
webSite:

Once logged-in
to our website, click on the ICD-10
box:

On the
ICD-10 webpage there are four
video options. Your office will
need to watch video tutorials
2 and 3, and the ICD-10 Lookup
Tool video:
* Phase
Two: Activating your program for
use of the ICD-10 codes
* Phase
Three: Crosswalk and Adding new
ICD-10 codes
* Standalone
ICD-10 Lookup Tool
Note:
The Phase
One: Importing ICD-10 Codes
video
is ONLY for clients who need to
import their own ICD-10 codes.
3.
Billing: Prior to the
ICD-10 cut-over date, review the
most commonly used ICD-10 codes,
and view our Intellect ICD10 video
tutorials. Intellect users
may want to go to Management/Analysis/Utilization
and generate the Diagnosis Utilization
report which lists the ICD-9 codes
used by your practice, and the
frequency of use.
To send ICD-10 you must also
be sending your transactions in
the ANSI 5010 format.
Intellect
users: Check that your software
is sending in ANSI 5010 format:
* Go to Utility/Insurance/Telecom/Modify
* In the <Insurance
Code> field, type in the code
your office is using when sending
electronic transactions. In the
sample below for Medicare direct
(via Ability), the code is MCAR.
Your office may be using a different
code, in which case you would
enter the code you use. This includes
any clearinghouse you may also
be using.
* Verify that
the <Version> field is set
to the following (see sample below):
Professional
claims: 005010X222A1
Institutional
claims: 005010X223A2

4.
All Claims: Reminder,
all charges with a date of service
(DOS) of 10/1/2015 or greater
require the use of an ICD-10 code.
Before your office sets all the
necessary triggers for the ICD-10
requirements within Intellect,
it is suggested that all claims
with a date of service prior to
the 10/01/2015 cut-over be billed.
Doing this will minimize errors
to your claims.
Note:
Reimbursement for outpatient and
physician office procedures will
not be determined by ICD-10 codes.
Outpatient and physician office
claims are not paid based on ICD-10
diagnosis codes but on CPT and
HCPCS procedure codes, which are
not changing. However, ICD-10-PCS
codes will be used for hospital
inpatient procedures, just as
ICD-9 codes are used for such
procedures today. Also, ICD diagnosis
codes are sometimes used to determine
medical necessity, regardless
of care setting.
See also CMS' MLN
Matters No. MM7492.
5.
Institutional Claims:
All offices billing
Institutional claims,
be advised that the UB Encounter
screens which your office may
be attaching to charges that are
on or after a date-of-service
of 10/01/2015 will require you
to also populate any fields that
are related to a diagnosis code
with an ICD-10 code.
These changes must be
made manually by you and your
staff.
6.
Forms: Check Superbills
for any changes that your office
might require . See our emails
of 05/13/2015
and 05/14/2015
for superbill update information.
7.
Multi-Clinic Practices:
Is your institution a Multi-Clinic
Practice? If so, please be advised
that PCS will load the ICD-10
codes to clinic 1 ONLY. If your
office is not sharing the Diagnosis
Codes, you will need to copy them
to each clinic using Intellect's
copy feature from Utility/Maintenance/Copy
Utilities. For help copying the
Diagnosis codes, contact our Support
Team at support@primeclinical.com
or via phone at 626-449-1705.
8.
Internal Communication:
Is your staff aware of their part
in ICD-10 and how it affects or
doesn't affect them?
"As
with major changes in any industry,
the transition to ICD-10 will
require focused effort and attention"
-- CMS,
Road
to ICD10. Your focused
efforts and changes will minimize
the financial impact on your institution.
