Dear Client,

As you prepare for 5010 compliance, please be aware of the two issues addressed in this email.

Note that the need for Blue Shield Taxonomy codes is effective immediately.
Replacing a P.O. box address for a street address does not need to be in place until the 5010 compliance deadline of January 1, 2012, but can be done now as street addresses are accepted by 4010.

Blue Shield Requires Taxonomy (Effective immediately)

A Taxonomy Code is now required in order to bill to Blue Shield. To confirm that your clinic is set up correctly, please verify the following:

1. On the Utility/Set Up/Parameter screen:

if your Billing Method is C/Clinic, make sure to enter the taxonomy code in the <Taxonomy Code> field on the Util/Set Up/Clinic screen.

if your Billing Method is D/Doctor, enter the taxonomy code in the <Taxonomy> field on the Utility/Provider screen for each Provider record.

2. Once the taxonomy codes are entered, go to Util/Insurance screen and make sure the <Taxonomy> field is set to Yes for all Blue Shield insurance codes.

3. If your clinic has Provider/Provider or Provider/Facility records, they will also need to be updated with the Taxonomy code for Blue Shield records.

P.O. Box Addresses not Accepted

In regard to P.O. boxes being used after 5010 is implemented, Gateway EDI's website posted the following information:

Will I have to submit a physical address on a claim (street number and name) in the billing provider address?

Yes. The Billing Provider Address reported must be a physical address. PO Box and lock box addresses cannot be reported as a Billing Provider Address once 5010 is implemented. This rule applies to both professional and institutional claim formats. Providers should work with their software vendors to ensure that the correct addresses are captured and sent in the correct locations for the 5010 implementation deadline.

Can I still have payments sent to a lock box or post office box?

Yes. If you use a PO Box or lock box address as your location for payments and correspondence from payers, you can continue to use this approach, however; you must report this location as a Pay-to Address. (2010AB loop for ANSI claims). The Pay-To Provider address is only needed if it is different than that of the Billing Provider and providers should work with their software vendors to ensure that the correct addresses are captured and sent in the correct locations for the 5010 implementation deadline.

I'm in a rural area and have a PO box because there is no mail delivery. Should my Billing Provider Address be my mailing address?

No. The Billing Provider Address is the address where the services were rendered. This location address may or may not be the same as the mailing address. If your mailing address is a PO Box, it will be reported as a Pay-to Address only.

As verified with Gateway EDI, Emdeon, and the American Medical Association, this applies to both Institutional/UB04 and Professional/HCFA billing.

Please note, a March 18, 2011 publication from the American Medical Association stated that per upcoming HIPAA dates, the due date for compliance with version 5010 transactions is January 1, 2012.

Should you have questions or need additional information, please do not hesitate to call.

Sincerely,
