Dear Client,

 

In preparation for ICD10, Prime Clinical has put together a list of the most common questions we receive regarding ICD-10. We will continue to update this list as more information becomes available.

 

Q.  What should we be doing at this time to prepare for ICD-10?

A.  Educate yourselves and your Staff, especially the Staff members who will be required to know ICD-10 (Doctors, Billers, PA's). Review the documentation provided by CMS and other organizations, begin putting together a list of the most commonly used ICD-9 Codes, and then begin to understand how ICD-10 will apply. We also suggest you begin to compile your specialty ICD-10 codes by adding them to a 'text' or Excel document. Share the list with the rest of your staff.

Suggestion: Intellect users may want to go to Management/Analysis/Utilization and generate the Diagnosis Utilization report which lists the ICD-9 codes used by your practice, and the frequency of use.

 

Q.  Does everyone need to change to ICD-10?

A.  Yes, ICD-10 transition will affect ALL entities covered by HIPAA.

 

Q.  When does ICD-10 go into effect?

A. Based on CMS, the Compliance date is October 1, 2014

 

Q.  Will PCS provide training on ICD-10 coding?

A.  No, your office will need to educate your staff. There are a number of organizations which provide ICD-10 training. For example, the World Health Organization provides free online training for ICD-10. You may visit their online training tool. You may also find additional information on the CMS website www.cms.gov/ICD10.

 

Q.  What are the ICD-10 timelines?

A.  CMS provides a detailed Implementation Guide to ICD-10 which will guide you step-by-step.

 

Q.  How will ICD-10 affect Clinical Documentation?

A.  As practices prepare for the October 1, 2014 transition to ICD-10, there's been a good deal of discussion about the many new codes ICD-10 offers and how clinical documentation will be affected. Just as with ICD-9, complete documentation is essential for patient care and accurate selection of ICD-10 codes. Click here to view more.  

         

Q.  Do we need to change our Superbills?

A.  Yes. See below:

 

If your Superbill is being printed from Intellect: 

Your office will need to review any changes which will be required for your Superbill. Any changes that will be required will need to be programmed and changed by our Forms Department prior to the deadline. Send any Superbill Changes to our support@primeclinical.com email.

Include on the Subject line 'Attention: Forms'.

Include in the body of the e-mail your Client ID, Contact Name, and a 'CLEAR' copy of the changes as an attachment.

 

If your Superbill is being generated from PCM:

Your office may make the changes yourselves. If your Superbill in PCM is setup as a TEXT type template, you should be able to edit it right inside PCM. If your Superbill in PCM is a scanned PEN type template, you will need to re-create the Superbill outside of PCM and then scan it in as a template. This could include printing a blank Superbill from Intellect and scanning it into PCM.

 

Q.  In PCM, will we need to update the Custom SB List (in the Diagnosis Search Screen)?

A.  Yes, a person who is familiar with the ICD codes needs to review the Custom SB List for accuracy; ICD codes can be added, deleted or updated in this list.

 

Remember: There is a link labeled "Search for ICD9, ICD10, HCPCS Codes" on the Diagnosis Search Screen. Clicking on that link opens the website www.findacode.com, which offers free and simple searches of the latest ICD-9/ICD-10 codes. You can use this website to verify that the codes in your custom Superbill list are the latest.

 

Q.  What happens in PCM when an ICD code is retired in Intellect?

A.  When a code is retired in Intellect, it will no longer show in the PCM Custom Superbill List.

 

Q.  Will our Software be ICD-10 compliant in time for ICD-10?

A.  Yes, Prime Clinical Systems has been ICD-10 ready since the 5010 Electronic Billing Requirements took effect.

 

Q.  Will PCS have a crosswalk to the ICD-10 codes? 

A. Yes. Prime Clinical Systems will only be loading the crosswalk. For more information, please see Utility/Diagnosis/Crosswalk in the online documentation. PCS will not provide a copy of the actual ICD-10 codes. However, your office may contact CMS and or your AMA to find out if the ICD-10 codes can be downloaded and or purchased.

     

Q.  Will PCS load the ICD-10 codes for our office?

A.  No. However, we do have a General Import process that will assist your office in loading the ICD-10 codes. See Utility/Maintenance/General Import ICD-10 for more information. PCS will also have video tutorials on how to load the ICD-10 codes using the General Import option in Intellect. If you need further assistance, please contact our PCS Support Team.

 

Q.  Do the ICD-10 Codes need to be in a special Format?

A.  Yes. The 'preferred format' is Excel; however, 'CSV-Short Text description' is also an option. Acceptable field separators, other then comma, are 'TAB' and PIPE (|).  

 

Q. How do I know what the field separator is in my file?

A. When purchasing or requesting the ICD-10 file, you must ask the vendor what type of field separator is being used in the file.
