NPI DEADLINE: Are You Ready?

Dear Valued Client:
You should have received an April 17th reminder about an important deadline looming for all of us: May 23, 2008. That’s when healthcare providers will be required to provide their National Provider Identifiers (NPIs) on all claims for reimbursement.
We will be updating you weekly with new information related to this important transition as we receive it. You will find new information below in addition to a reminder of critical information that requires immediate action if you have not already taken it.

NEW INFORMATION
CMS will a Host NPI Roundtable on May 14th, 2008
CMS will host a national NPI Roundtable to address additional questions from the Medicare provider community regarding Medicare's NPI implementation. The Roundtable will be on May 14th from 2:00 p.m. - 3:30 P.M.
Providers will be able to submit questions through the online registration system at the time of sign up for the call. For registration details, visit http://www.cms.hhs.gov/NationalProvIdentStand/Downloads/listserv_wording_5-14-08_call.pdf on the CMS NPI web page.
Also,CIGNA will reference NPPES with all NPI information included on a claim before the claims will be adjudicated; therefore, it is critical that you ensure that all NPIs are immediately registered with NPPES in addition to CIGNA and Navicure. We expect this requirement to be implemented by May 23, 2008 if not sooner, and will update you as information becomes available. From CIGNA's website:
"What is CIGNA's NPI Collection Strategy?
To reduce the administrative burden on providers, CIGNA has collected all NPIs from the CMS National Plan and Provider Enumeration System (NPPES) database and not from individual providers or facilities. The NPPES health care provider data required to be disclosed under the Freedom of Information Act (FOIA) was made publicly available in September 2007."
Effective immediately, United Healthcare, Aetna, and Harvard Pilgrim all require that NPIs be registered in their databases (via web site) in addition to NPPES and Navicure before claims will be adjudicated.
STEP 1 Acquire your NPIs IMMEDIATELY
You can apply online at https://nppes.cms.hhs.gov/NPPES/Welcome.do (If link does not open by clicking, you may either press CTRL + click, or copy and paste this URL into your browser address window).
OR by phone: Providers can obtain a paper application by calling NPPES at 1-800-465-3203, Monday - Friday, 8:30 A.M. - 5:00 p.m.
OR through the Electronic File Interchange (EFI): Providers can apply for multiple NPIs, through the EFI by visiting the http://www.cms.hhs.gov/NationalProvIdentStand/ website for information on this process.
STEP 2 - Register your NPIs IMMEDIATELY
a) With NPPES online at https://nppes.cms.hhs.gov/NPPES/Welcome.do
i. Contact ALL your payers to confirm your NPI is registered with each. Only you can do this, as Navicure is not allowed to do this on your behalf. ii. Contact Navicure via email* at enrollment@navicure.com to update your company profile. *NPI and any profile updates cannot be taken over the phone.
b) Navicure will hold weekly online seminars to walk our clients through these steps and answer questions they may have about the process. Navicure's second webinar will be held next Wednesday, May 7, 2008. c) Navicure will require that clients use their NPI prior to the deadline to ensure that everything is working properly before May 23. (Detailed information to follow in a separate communication).
The reason for the urgency of acquiring and registering your NPIs with both payers and Navicure is that Navicure will require NPIs AHEAD of May 23rd deadline:
Beginning Monday, April 21, Navicure will begin a rollout of requiring our clients to provide NPIs in Navicure’s system ahead of the May 23rd deadline. We are doing this to ensure that all the information that Navicure and payers will be require on May 23rd is acquired and registered with the parties by then. We do this not to put an added burden on our clients. Instead, it is to ensure uninterrupted cash flow come May 23.
With each of the following dates, Navicure will process claims to Medicare with NPIs exclusively and with both legacy and NPIs for commercial payers.
We will start with clients in OHIO on Monday, April 21, and will quickly expand from there according to the following TENTATIVE schedule. This is Navicure’s plan but is subject to change. If and when there are changes (no dates will be moved earlier, only later), you will be notified immediately:

Starting Monday, May 12, Navicure will begin submitting claims to payers with NPIs EXCLUSIVELY, i.e. no legacy numbers, except in instances where we know payers are not yet prepared to accept NPIs exclusively. We will do this to ensure that NPIs are correctly registered with payers when claims are submitted. Again, our intent is to ensure that cash flow is not interrupted on May 23 and thereafter. We will share a schedule for this rollout in the coming two weeks. Our intent is to have tested exclusive NPI submission with clients in every state by Friday, May 23.
