What Providers Need To Know Before Buying Any Electronic Medical Records Or Practice Management Solution
FACT: 19% of physicians abandon their new EMR solutions because they are too difficult to use and slow down office productivity. We guarantee in writing that this will not happen to you with our EMR solution! FACT: Your practice currently has many forms and documents on paper that you like to use. Plus 85-90% of your chart gets put together via "document management". So the solution must have a built-in solution to manage the scanning, bar-coding, autofiling and retrieval of this paperwork which gets routinely integrated into charts. If it doesn't, you'll end up disappointed. FACT: If your EMR and Practice Management software do not work together, sharing a single base, your practice will be squandering hundreds of thousands of dollars in revenue potential, due to decreased efficiency, productivity and reimbursement.
Product flexibility and ease of use is vital.
No two doctors practice the same way. Therefore the product must have the flexibility to work around each doctor's needs. For example, notes should be able to be inputted by clicking, writing, dictating, drawing...digitally or on paper. Screen & chart display options should include pick lists, templates and drop-down menus, all of which can be 100% customized for each physician's specialty and preferences. Bottom line, if a provider is "forced" to practice in a way that slows them down, they will become unhappy and not use the EMR.
Be aware of add-on costs and incomplete solutions.
Unfortunately, many physicians buy an EMR or practice management product and then are shocked to learn about the add-ons that must be purchased to make the system work as a complete solution. Common examples include:
No "built-in" back scanning ability
The average practice has thousands of existing charts in place when they buy an EMR solution. Yet unlike our EMR product, most have no back scanning ability. So practices must find an outside service or 3rd party product to scan all the charts, typically costing tens of thousand of dollars. Even worse, the documents are scanned with no means for auto filing and retrieval.
No "built-in" way to automatically manage forms, reports and other paperwork.
For the vast majority of practices, even with an EMR solution, paperwork will still exist. Most EMR solutions ignore this and have no means to manage paper. In contrast our solutions come with tools that allow paperwork to be barcoded. It can then be scanned into the system which will automatically file it with the proper chart.
No "built-in" support for faxing and emailing
Files and charts constantly need to sent and received via fax and email. Yet, these basic functions are not integrated into many EMR solutions, which leads to added costs for 3rd party products and programming. Our system automatically receives and routes incoming faxes and email to the right place. Sending out files is equally simple...all items in a chart can be attached and emailed or faxed with a couple of mouse clicks.
The EMR and Practice Management solutions do not work together.
This is the most costly of all mistakes. It is imperative that the software manufacturer offers EMR & Practice Management products that work as a turnkey solution. They must be able to communicate with each other, sharing data from the same database. This is the only way to maximize the system's full potential to increase your practice's productivity and profitability.
